# Booking setup and action receipts

Connect the right calendar, control writes and verify every appointment change.

Use a calendar integration when Verbatik should check availability and create real appointments. Use an appointment-request workflow when staff must approve the request or the practice-management system has no authorized booking API.

## Configure the booking resource

1. Connect [Google Calendar](/integrations/google-calendar), [Cal.com](/integrations/cal-com), [Calendly](/integrations/calendly) or a supported provider with appointment actions.
2. Choose the actual calendar, event type, location, staff member or resource used by the business. A test account with the wrong calendar can return plausible slots while booking nowhere useful.
3. Set an IANA timezone such as America/New_York. Agree the visit duration and any provider-configured buffers, working hours and capacity rules.
4. Enable writes for booking, rescheduling and cancellation only if the account is permitted to make those changes.
5. Add those specific tools to the agent. Prompt it to collect the required caller and appointment details, read the chosen time and timezone back, and ask for confirmation before a change.
6. Publish, then verify one booking, one reschedule and one cancellation in the provider’s own calendar.

## Google Calendar

Use the workspace OAuth connector when available. Sign-in to Verbatik with Google is a different authorization. Choose the exact calendar ID and an account that can edit its events. A manually configured token connection needs a valid access token; ongoing renewal also needs the matching refresh-token and OAuth client configuration. Contact support if the built-in OAuth app is unavailable rather than entering unrelated account sign-in credentials.

Calendar availability is checked against the selected resource. A Google Calendar event does not automatically create a patient, reserve a clinical resource in an unrelated PMS or update a medical record.

## Cal.com and Calendly

Cal.com needs the customer’s API key and an existing event type ID with its underlying calendar connected. Check availability before booking. Use its configured duration, location and required attendee questions.

Calendly requires the appropriate Scheduling API account access and permissions. Respect event-type availability and required booking questions. When the provider returns a reschedule URL, use that flow instead of treating a second booking as a reschedule.

## What a successful action means

A spoken confirmation is not a booking receipt. The provider action must return a successful result and an external booking identifier. Verbatik retains the result so a recovery path can acknowledge an already completed action without repeating it.

For rescheduling and cancellation, use the stored booking identifier and the caller details required by the tool. Do not guess a booking from a similar name. Ownership checks prevent a caller from changing someone else’s appointment.

## Conflicts, retries and uncertain results

- A slot can become unavailable after it is first offered. Ask the caller to choose a newly checked slot when the provider rejects the time.
- A durable claim prevents overlapping changes to the same booking. Wait for the existing operation or reconcile its result before requesting another change.
- If a provider may have accepted a write but the reply was lost, the result is uncertain. Verbatik stops instead of blindly issuing the mutation again.
- Check the vendor’s record, the action receipt and the requested old/new time. Ask staff to reconcile an uncertain appointment; do not announce success without proof.

## Clinic acceptance checklist

- Caller name, pet name and contact fields map to the intended appointment fields.
- Correct timezone, daylight-saving dates, duration, staff member and visit type.
- A taken slot is refused and alternatives are offered.
- Caller correction, interruption and language changes preserve the chosen appointment.
- No booking is confirmed after a failed or missing receipt.
- Reschedule and cancellation affect only the intended booking and run once.
- Confirmation emails and reminders come from the configured calendar/provider workflow; connecting a calendar alone does not configure every reminder channel.
